I want to set up a Supervisor with access to limited departments, etc? How can I do that?
Answer
When creating a Supervisor login, it is possible to restrict them on certain aspects of the system. Follow these steps to set up a login:

1. Select the Client from your Client list
2. Go to the Accountant Menu and click on Login Maintenance
3. Click on the ‘ + Add New Login’ found at the top of the page
4. Select the type of login you will be creating
5. Choose a login ID and a password and hit save

Filtering/Employee Restriction:

From here you will select what type of restriction this login will have. This is what the employee will see upon login.

- No Restrictions: This allows the Supervisor to see ALL employees regardless of what is in the employee set up
- Restricted by Department: This maps back to what is entered in the Department field of the employee set up
- Restricted by Location: This maps back to what is entered in the Location field of the employee set up
- Restricted by Supervisor: This maps back to what is entered in the Supervisor field of the employee set up

Permissions:

- Can Edit Punches
- Can Add/Edit Employees
- Can See Wages
- Can Edit/Delete Unprocessed Punches
- Can View Employee Punches in X prompt

You will hit save after choosing the filtering and permission you have set for this login.

If you choose to restrict by department, location, or supervisor keep in mind that the system will only allow for 5 restrictions. Here is an example of how to use set up a restriction.

• The supervisor needs to see departments AAA,BBB,CCC,DDD,EEE. The blanks you see when setting up the permissions are where you would save each of these departments. This becomes a comma separated field once you have set up and saved the login.

To set up more than 5 restrictions, you would have to set up separate Supervisor logins.


*** NOTE: Wildcards (*) are acceptable as criteria. If someone has a Supervisor of ‘Grigoratos’, it is acceptable to put Grig* in one of the permissions when setting up the login. Through constructive use of the wildcard, you can lengthen the restrictions. EX: I have a Supervisor that needs to see employees with Supervisor(s) of Grigoratos and Ganuuse. So in their restriction list I can put G* and both Grigoratos and Ganuuse will be included.


You may need to change permissions or login and password information sometime in the future. To to this you would go to the Login Maintenance link from the Accountant Menu and find the supervisor login that needs to be changed. Click on the login and you will find your that you are on the page necessary to make these changes.
