VoiceClock - Clock Prompt Setup for VoiceClock
==Clock Prompts==

Once the VoiceClock has been assigned to a client, setting up the clock prompts can be done by going to Accountant Menu > Assign VoiceClock Prompts. From here you would want to select "Add New".

You will be then presented with a page with the following options:

1. Time Device - This will show the VoiceClock number assigned to the client.

2. Variable - This drop down allows you to select from either the 3 Numeric (i,j,k) or 3 Labor (x,y,z) code prompts.

3. Ask When - This drop down allows you to select if the prompt is to be on either the IN or OUT punch.

4. Prompt Wave - This requires a 1-2 digit number based on the recorded prompt. The VoiceClock comes with 7 pre-recorded prompts:

1 = instructions
2 = department
3 = job
4 = location
5 = tips
6 = net
7 = gross

5. Restriction List - This is akin to the Prompt List box found when creating normal prompts and allows you to set up a pre-approved list of comma separated NUMERIC entries.

6. Min Length AND Max Length - Are the same as "Length Entry" found in the normal prompts were you can designate the minimum and maximum character length allowed for their entry at the prompt.

In conjunction with this you will also want to setup a normal prompt USING THE SAME VARIABLE (i,j,k,x,y,z) as this will allow you to set up your column headings for your prompt.


==Hosted VoiceClock Requirements==


With the exception of Caller ID (see below) Other requirements are required if you are using the Hosted service:

The only additional step not outlined in the article is:

1. Numeric prompts are currently not supported. Only the Job Code Prompts are currently available (X,Y and Z).

2. Job Code prompts require a “numeric” prompt list of valid numeric selections.

3. You will need to contact Support once the clock prompt is setup so we can let the vendor know what vocal prompt to setup for the client. They will also verify that the sync is working and they are receiving a valid prompt list (from step 2) before use.


==Caller ID Information==


Caller ID can also be made to generate at a clock prompt but is found under Add/Edit VoiceClock > Edit > Caller ID Variable.

At the drop down you have 6 prompt options:

x,y,z - Depending on how these are configured (IN/OUT) will give you the caller ID for when they either clock IN or OUT.

XY,YZ,XZ - This requires two labor code prompts but will allow Call ID to collect the phone number on both the IN and OUT punches of the employee. For example XY, x would be caller ID for the IN punch and y would be caller ID for the OUT punch.

As with the other VoiceClock prompts you will also want to setup a normal prompt USING THE SAME VARIABLE (i,j,k,x,y,z) as this will allow you to set up your column headings for your prompt.


==Restrictions on Character Length==

There is a 230 character limit for the prompt list (also including commas between selections) for all Labor Code Prompts for the Voice and Hosted VoiceClocks.
